Progress Monitoring Hub
Phase BE accompanies young people on their journey from school to career. But communication between camp, care teams, and office remained scattered: critical progress and challenges were lost between separate files. With a traffic light system in Excel, we consolidated all information in one place. Now Phase BE identifies support needs at a glance and acts in time.
Summary
The project supports Phase BE in improving communication between office staff, camp staff, and long-term care providers. A traffic light system in the shared documentation allows the progress of each young person to be monitored on an ongoing basis and any need for support to be identified at an early stage. The system was implemented in Google Sheets with macros, efficiently combining decentralized data collection with centralized evaluation.
Challenge
Phase BE works with various teams (office, camp, long-term care) that have previously documented their observations in isolation. Fragmented data management makes it difficult to identify support needs in a timely manner and respond in an impact-oriented way.
Data
The system records progress in various categories, for example:
- School performance (e.g., report card grades)
- Job application training
- Technical progress (math, reading)
Each group has its own data sheet and sends regular updates to headquarters.

Results and social impact
